What to put on a painting invoice

Painting customers want to see what was painted, how many coats and with what. A clear invoice also becomes their record for touch-ups:

Example painting invoice

Line itemQtyRateAmount
Interior – living room walls and ceiling, 2 coats1$780.00$780.00
Interior – 3 bedrooms, walls only, 2 coats3$420.00$1,260.00
Trim, doors and baseboards – semi-gloss (doors)9$65.00$585.00
Prep – patch, sand and prime water-stained ceiling1$180.00$180.00
Paint and supplies – 11 gal premium eggshell, 2 gal semi-gloss1$615.00$615.00
Total$3,420.00

Recording the exact colours and finishes in the notes is a small touch customers appreciate — and it brings them back to you when they want the next room done.

By the room, square foot or hour?

By the room is easy for homeowners to understand. By the square foot of wall area is more accurate for larger or unusual spaces. Hourly suits small jobs and repairs where prep is unpredictable. Whatever you choose, price it the same way in your painting estimate so the invoice matches.

Older homes: lead paint rules

In the US, homes built before 1978 may contain lead paint. Under the EPA's Renovation, Repair and Painting Rule, contractors who disturb painted surfaces in these homes must be certified and follow lead-safe work practices. If you work on older homes, note on the invoice that lead-safe practices were followed.

Taxes for self-employed painters

Your brushes, rollers, sprayers, ladders, drop cloths, van and insurance are business expenses, and paint you buy for jobs is part of your job costs. Sales tax on paint and labor varies by state. Use the 1099 tax calculator to see how much of each payment to set aside.

Frequently asked questions

Should I charge for paint separately?

Many painters do, because paint quality varies so much in price. Others include paint in the room price. Separate lines make it easier to show the customer why premium paint costs more.

How do I bill for extra coats?

If a colour change or a stained surface needs an extra coat you didn't quote, add it as its own line and explain why. Agree it with the customer before you do it.

Can I take a deposit?

Yes. Many painters take a deposit to buy the paint and schedule the job. Enter it under "Amount already paid" on the final invoice.

Do I need to charge sales tax?

It depends on the state. Some tax painting services, some tax only the materials. Check your state's rules.
