What to put on an HVAC invoice
An HVAC invoice doubles as the service history of your customer's system, and helps with manufacturer warranty claims later. Include:
- The equipment — brand, model and serial number of the unit you worked on
- What you found and what you did, in plain language
- Parts, with sizes or ratings, separately from labor where it helps
- Refrigerant — type and amount added
- Your license or certification, if your state requires it
- Maintenance plan details and the next visit date
- Warranty on parts and labor

Flat-rate repairs
Many HVAC companies use flat-rate pricing: one price per repair, including parts and labor, such as "Replace capacitor". Customers know the price before you start, and you're paid for your expertise rather than your speed. If you use flat rates, put a short description on each line, as in the example. If you bill time and materials, list labor and parts separately.
Maintenance plans
Maintenance plans bring in steady income and repeat customers. Invoice the plan at sign-up, or monthly if you offer payments, and put the visits it covers on the line description. On repair invoices for plan members, show any member discount as its own line, so customers see the plan's value.
New system installs: estimate first
For a replacement furnace, air conditioner or heat pump, give a written estimate that names the equipment, efficiency rating, permits and any rebates you'll help with. When the job's done, Convert to invoice and add the serial numbers of the installed equipment.
Tax notes for HVAC technicians
If you run your own HVAC business, your van, gauges, recovery machine, tools, licenses, EPA certification and insurance are business expenses. Equipment you buy to resell to customers is a cost of goods sold. Sales tax rules for equipment, parts and labor vary by state. Use the 1099 tax calculator to see how much of each payment to set aside.
Frequently asked questions
Should I list the refrigerant separately?
Yes. Customers often ask how much was added, and it's useful history if there's a leak. Show the type and the amount.
How do I credit a diagnostic fee against a repair?
Add the diagnostic fee as normal, then a line such as "Diagnostic credited toward repair" with a negative amount.
Can I bill a customer's home warranty company?
Yes. Put the warranty company as the client, add the claim number in the PO field, and the homeowner's address in the notes. Many warranty companies also have their own portals and forms.
Can I keep my invoices for every customer?
Your latest invoice is saved in your browser. Download each one as a PDF or Excel file and keep them in a folder — that's also the record you need at tax time.
