How to write a quote

  1. Add your business details and logo — they're saved in this browser and reused on your invoices and receipts.
  2. Add the client under "Prepared for".
  3. Give the quote a number and a "valid until" date. Prices change, so most freelancers keep quotes open for 15 or 30 days.
  4. List what's included — one line per deliverable, with quantity and price. Be specific: "Homepage design, 2 rounds of revisions" avoids arguments later.
  5. Add sales tax or a discount if they apply, and your terms — for example a deposit before work starts.
  6. Download as PDF to email it, or Word / Excel if you want to edit it later.

When the client says yes

Click Convert to invoice. Every line item, the client and your details move to a new invoice with today's date and a fresh invoice number — nothing to retype. The quote stays saved here too.

Frequently asked questions

What is the difference between a quote and an estimate?

A quote is a fixed price for a defined piece of work: once the client accepts it, that's the price. An estimate is your best guess, and the final bill can change if the job turns out bigger or smaller. Use our estimate template when you can't know the exact cost yet — common for repairs and building work.

Is a quote legally binding?

An accepted quote can form part of an agreement, so only quote prices you're prepared to honor. For larger projects, a signed contract is clearer. This isn't legal advice — check the rules where you work.

How long should a quote be valid?

Commonly 15 to 30 days. Shorter if your material costs change quickly, longer for big projects that need approval. Set it with the "Valid for" buttons.

Can I add a deposit?

Yes — write it in the terms, for example "50% deposit to start, balance on delivery". When you convert the quote to an invoice, record the deposit under "Amount already paid".

Is it free?

Yes. No account, no limits and no watermark. Your quote is made in your browser and never uploaded.
