How to estimate a painting job
- Measure the surface. For walls, multiply the perimeter of the room by the ceiling height and subtract large windows and doors. For exteriors, measure each side.
- Work out the paint. A gallon typically covers about 350–400 sq ft per coat on smooth surfaces, less on rough siding or bare wood. Most jobs need two coats; colour changes and new drywall may need primer.
- Estimate the labor. Prep often takes as long as painting: patching, sanding, scraping, caulking, masking and moving furniture.
- Add the extras — ladders or lifts, power washing, repairs.
- Write down what's included and what isn't, and add a "valid until" date.
Example painting estimate
| Line item | Qty | Rate | Amount |
|---|---|---|---|
| Exterior – siding, 2 coats (approx. 1,900 sq ft) | 1900 | $1.85 | $3,515.00 |
| Exterior trim, fascia and soffits | 1 | $1,150.00 | $1,150.00 |
| Power wash and scrape loose paint | 1 | $450.00 | $450.00 |
| Caulk gaps and spot-prime bare wood | 1 | $320.00 | $320.00 |
| Paint and supplies – 16 gal exterior satin, primer, caulk | 1 | $1,040.00 | $1,040.00 |
| Total | $6,475.00 |
The first line uses square feet as the quantity and a price per square foot as the rate, so the amount works itself out. Change the area and the total follows.
Inclusions and exclusions
Most painting disputes are about what was supposed to be painted. List exactly what's included — "all walls and ceilings in the living room, hallway and three bedrooms; trim and doors" — and what's not — "closets, garage, wood repair". Put it in the notes, as in the example.
From estimate to invoice
When the job's done, click Convert to invoice. The estimate becomes a painting invoice with the same lines. Adjust anything that changed, record the colours used in the notes, and enter the deposit under Amount already paid.
Frequently asked questions
How much paint should I estimate?
Divide the area by the coverage per gallon (about 350–400 sq ft for smooth walls), multiply by the number of coats and round up. Add more for rough or porous surfaces.
Should I give one price or show the details?
One total is simpler, but showing the main parts — labor, prep, paint — helps customers compare your estimate with others and see why prep matters.
How long should a painting estimate be valid?
Thirty days is common. Exterior work also depends on the weather, so note that the start date is weather-permitting.
Do I charge for estimates?
Most painters give free estimates for homeowners. Colour consultations and detailed commercial take-offs are sometimes charged.
