What to put on a landscaping invoice
Lawn care and landscaping clients usually see you more than they see your invoices, so the invoice should make the month's work easy to recognise:
- The property address, if it's not where the client gets mail
- Recurring service with the number of visits in the period
- One-off jobs — cleanups, trimming, installs — on their own lines
- Materials and plants with quantities: cubic yards of mulch, number of plants
- Disposal or haul-away fees
- What's coming next — a gentle reminder of seasonal services
Example landscaping invoice
| Line item | Qty | Rate | Amount |
|---|---|---|---|
| Lawn mowing, edging and blowing – weekly (4 visits in October) | 4 | $55.00 | $220.00 |
| Fall leaf cleanup and haul-away | 1 | $285.00 | $285.00 |
| Shrub trimming – front beds (10 shrubs) | 10 | $12.00 | $120.00 |
| Mulch – hardwood, installed (3 cubic yards) | 3 | $85.00 | $255.00 |
| Perennials – 6 plants, installed | 6 | $18.50 | $111.00 |
| Total | $991.00 |
Recurring clients: bill monthly
For weekly mowing, a single monthly invoice listing the visits is easier for you and your client than one per visit. If rain means you skipped a week, the visit count changes and the total follows. Some companies charge a fixed seasonal price split into equal monthly payments; in that case, make the plan line one fixed amount each month.
Materials, plants and markups
Bill materials separately from labor, with the quantity and unit. Many landscapers include installation in the material price ("mulch, installed") so the client compares one number. Keep your nursery and supplier receipts — they're your cost records.
Sales tax for landscapers
The rules vary by state. Plants, mulch and other materials are often taxable; lawn care services are taxable in some states and not in others. Listing materials and services separately makes it easier to apply your state's rules correctly.
Seasonal income and taxes
Landscaping income is often seasonal, with most of it earned in a few months. That makes quarterly estimated tax payments important: the payment due in September or January can be large if you earned most of your income over the summer. Your mower, trailer, truck, fuel, equipment repairs and insurance are business expenses. Plan your payments with the quarterly tax calculator.
Frequently asked questions
Should I invoice after every mow?
For one-off customers, yes. For regular clients, a monthly invoice is simpler. Pick one and tell your clients in advance.
How do I bill for a bigger landscape project?
Start with an estimate for the design, materials and labor. Take a deposit before you order plants and materials, and convert the estimate into an invoice when the job is finished.
What if a client wants to pay for the whole season up front?
Make one invoice for the season, then give a receipt when they pay. You can offer a small discount for paying early.
Can I add my logo and colors?
Yes. Add your logo and pick a color in the Options section. They're saved for your next invoice.
