What to put on a handyman invoice
Handyman jobs are often a list of small tasks done in one visit. Listing each one makes the price easy to understand and shows the customer how much you got done.
- Each task on its own line — what you did and where
- Time per task or a flat price per task, whichever you agreed
- Materials you bought, separately from labor
- Customer-supplied items — note them so your warranty is clear
- Your trip charge or minimum, if you have one
- How to pay — most customers want to pay on the spot
Example handyman invoice
| Line item | Qty | Rate | Amount |
|---|---|---|---|
| Trip charge / service call | 1 | $45.00 | $45.00 |
| Hang 3 shelves and a TV mount (1.5 hrs) | 1.5 | $70.00 | $105.00 |
| Replace kitchen faucet – customer-supplied faucet (1 hr) | 1 | $70.00 | $70.00 |
| Patch and paint drywall hole, hallway (1 hr) | 1 | $70.00 | $70.00 |
| Materials – anchors, joint compound, paint sample, caulk | 1 | $34.60 | $34.60 |
| Total | $324.60 |
Flat price, hourly or both?
Many handymen use a mix: a flat price for common tasks they can estimate well (mounting a TV, replacing a faucet) and an hourly rate for anything uncertain. A trip charge or a minimum charge — often one hour — makes short visits worth the drive. Tell the customer before you start, and use the same rules on every invoice.
Know where your license limits are
In many states, handyman work is allowed without a contractor's license only up to a certain job value, and plumbing, electrical and gas work often require a licensed tradesperson whatever the size of the job. Check your state's rules and stay within them; it protects you and your customer. For bigger jobs, the contractor invoice template adds change orders and deposits.
Get paid on the spot
Homeowners are used to paying when the job is done. Fill in the invoice on your phone before you leave, download the PDF and text or email it while you're still there. Card readers, Zelle and payment links all make it easier. Once you're paid, click Create a receipt for a matching receipt.
Taxes for self-employed handymen
Your tools, vehicle costs, materials, liability insurance and phone are business expenses that reduce your taxable profit. Keep a mileage log and your supply-store receipts. Use the 1099 tax calculator to see how much of each payment to set aside — no one withholds tax for you.
Frequently asked questions
Should I mark up materials?
Many handymen add a small markup or a flat "pickup" fee to cover the trip to the store and their time. Tell the customer up front.
Do I charge sales tax?
It depends on your state. Some states tax repair labor or the materials you supply; others don't tax home repair services at all. Check your state's rules.
How do I record a job the customer pays in cash?
Write the invoice as usual, then make a receipt so you both have a record. Cash income is taxable, just like any other payment.
Can I invoice from my phone?
Yes. The editor works on any phone. Your business details are saved in your browser, so the next invoice only needs the customer and the jobs.
