A few things look unfinished:

What a VAT invoice must include

If you're VAT-registered, a full VAT invoice must show these details, according to HMRC:

    1. A unique invoice number that follows on from the last one.
    2. The time of supply (tax point), if it's different from the invoice date.
    3. The date of issue.
    4. Your name, address and VAT registration number.
    5. Your customer's name and address.
    6. A description of the goods or services.
    7. The quantity of goods or the extent of the services, for each item.
    8. The unit price of each item, and the VAT rate and amount excluding VAT.
    9. The total excluding VAT.
    10. The rate of any cash discount offered.
    11. The total VAT charged, in pounds sterling.

If the reverse charge or a margin scheme applies, the invoice has to say so: add it in the Notes.

    How to fill it in

    1. Your business: name and address. Your VAT number goes in the Tax ID field, already named "VAT no.".
    2. Bill to: your customer's name and address.
    3. Number and dates: Invotaxa numbers invoices in sequence (INV-0001, INV-0002…). If the work was done on a different date from the invoice, click "+ Service date" to show the time of supply.
    4. Line items: description, quantity and unit price, excluding VAT.
    5. VAT: open "+ VAT (20% standard)" and click "Use 20%". For items at a different rate, untick "Tax" on that line and invoice them separately, or note the rate in the description.
    6. Download the PDF to send, or Word or Excel to edit later.

    Not registered for VAT?

You must register when your VAT-taxable turnover over the last 12 months goes over £90,000, or if you expect to go over it in the next 30 days alone. Until you're registered, don't charge VAT or show a VAT number: send a normal invoice without VAT, which is what this page makes until you add it.

    Frequently asked questions

What is the VAT rate in the UK?

The standard rate is 20%. Some goods and services are at the reduced rate of 5% or the zero rate. Use the rate that applies to what you're selling.

Do sole traders need a VAT invoice?

Only if they're VAT-registered. Below the threshold, a sole trader sends an ordinary invoice with no VAT.

Can I issue a simplified VAT invoice?

HMRC allows a less detailed invoice for retail sales up to £250 including VAT. For business customers who want to reclaim VAT, a full VAT invoice like this one is the safe choice.

    Is this template free?

Yes. No account, no watermark and no limit. Your invoice is made in your browser and isn't uploaded.
