How to fill in a timesheet
- Add your details and your client's — the same as on an invoice.
- Set the period, for example "Oct 1–15, 2026", with the "+ Service date" button.
- Add a line for each day or task: the date and what you did in the description, and the hours in the Hours column.
- Leave the rate empty for a plain timesheet that shows hours only, or add your hourly rate to show the amounts too.
- Tick "Add an Approved by line" if your client signs off your hours.
- Download the PDF, Word or Excel file. Excel keeps the formulas, so you can keep adding rows.
Timesheet or invoice?
A timesheet records the time you worked; an invoice asks to be paid for it. Many clients — agencies, staffing firms, larger companies — want an approved timesheet before they pay an hourly invoice. When it's approved, click Create an invoice and your lines move straight onto an invoice. Add your rate there if you haven't already.
Tips for accurate timesheets
- Record time daily, not from memory at the end of the week.
- Round consistently, for example to the nearest quarter hour (0.25), and say so in your terms.
- Describe the work, not just "Project work": "Homepage layout — revisions after client call" helps the client approve it quickly.
- Split billable and non-billable time if your contract says some work isn't billed, such as travel.
Frequently asked questions
Is this timesheet template free?
Yes. There's no account, no watermark and no limit. Your timesheet is made in your browser and never uploaded.
Can I make a weekly timesheet?
Yes. Set the period to the week and add a line per day. The total hours are added up for you at the top and the bottom of the PDF.
Does the timesheet calculate pay?
Only if you add a rate. With a rate, each line shows its amount and the timesheet shows the total; without one, it shows hours only.
