What a rent receipt should include

A rent receipt protects both you and your tenant: it proves what was paid, when and for which period. Include:

Example rent receipt

Line itemQtyRateAmount
Rent – 24 Oak Street, Apt 3B, for November 1–301$1,450.00$1,450.00
Parking space #12, November1$75.00$75.00
Late fee – rent received Nov 8 (per lease, after 5-day grace period)1$50.00$50.00
Total$1,575.00

Put the tenant under Received from and the payment method — for example "Check #1048" — under Payment method.

Partial payments

If a tenant pays only part of the rent, give a receipt for what you actually received and state the balance in the notes, for example: "Partial payment for November. Balance of $450 due by November 15." Your lease and your state's rules decide what happens next — and in some places accepting partial rent can affect an eviction process, so check before you accept it.

When are rent receipts required?

Some states require landlords to give a receipt for certain payments — New York, for example, requires one for rent paid in cash or by money order, and when a tenant asks for one. Even where it isn't required, a receipt is good practice for every payment, and tenants may need them to claim renter's tax credits or to prove their rental history.

Rent receipts and your taxes

Rental income is reported on Schedule E, not as self-employment income, so it isn't subject to self-employment tax. Keep a copy of every receipt with your records of repairs, insurance and property tax.

Frequently asked questions

Can I make one receipt for several months?

Yes — list each month on its own line, or one line such as "Rent for January–March". Monthly receipts are easier for tenants to keep track of.

Should I give a receipt for a bank transfer?

It isn't always required, because the bank keeps a record, but many landlords do it anyway. It shows clearly which month the payment was for.

Can I include a security deposit?

Yes, but list it on its own line as a security deposit, not rent. Many states have specific rules about how deposits are held and returned.

Is a rent receipt the same as a rent invoice?

No. An invoice asks for payment; a receipt confirms a payment was made. To bill rent in advance, use our invoice generator.
