What to put on a photography invoice
Photography invoices mix services, products and rights, and each should be clear:
- The session or event — date, length and how many photographers
- Editing and delivery — how many edited images and how they're delivered
- Products — prints, albums and frames as separate lines, because they may be taxed differently from your services
- Usage or license — for commercial work, what the client may do with the images, for how long and where
- Travel — if it's outside your included area
- The booking retainer already paid, so the balance is right
Example photography invoice
| Line item | Qty | Rate | Amount |
|---|---|---|---|
| Wedding coverage – 8 hours, 2 photographers | 1 | $3,200.00 | $3,200.00 |
| Engagement session – 1.5 hours | 1 | $450.00 | $450.00 |
| Edited high-resolution images – online gallery (approx. 600) | 1 | $0.00 | $0.00 |
| Printed album – 30 pages, 10 × 10 in | 1 | $650.00 | $650.00 |
| Travel – 140 miles round trip | 140 | $0.70 | $98.00 |
| Total | $4,398.00 |
The gallery line is at $0 to show that it's included in the coverage. Listing it anyway helps your client see everything they're getting. Enter the retainer under Amount already paid to show the balance due.
Licensing for commercial clients
For business clients, the license is often the most valuable part of the job. State on the invoice what's licensed — "Web and social media use, 2 years, North America" — or refer to your license agreement. If the client later wants wider use, such as print advertising, you can invoice an extension on its own line.
Retainers and payment timing
Most portrait and wedding photographers take a non-refundable booking retainer to hold the date, often 25–50%, with the balance due before the event. Commercial photographers often bill half up front and half on delivery. Set your terms out in a quote, then click Convert to invoice when the client books.
Sales tax on photography
Rules vary a lot by state. Many states tax prints, albums and other physical products; some also tax digital image files or the whole photography service. Because the rules differ, show products on separate lines and check your state's guidance before you set a sales tax rate.
Photography income and taxes
Cameras, lenses, lighting, editing software, backup storage and travel to shoots are common business expenses. Expensive equipment can often be deducted in the year you buy it. Then see how much of each payment to set aside with our 1099 tax calculator.
Frequently asked questions
Should I list every edited image?
No — a line such as "Edited high-resolution images (approx. 600)" is enough. Attach a contact sheet or gallery link if the client needs to see exactly what's included.
How do I bill a second shooter?
Either include them in the coverage line ("2 photographers") or bill them as a separate line. If you pay the second shooter as a contractor, their fee is a business expense for you.
How do I show a retainer on the invoice?
Bill the full package, then enter the retainer under "Amount already paid". The invoice shows the total, the retainer and the balance due.
Can I add my logo?
Yes. Click "Add logo" in the editor. It appears on the preview and in the PDF.
