What an IT services invoice should show
IT invoices often mix recurring services, hourly work and products. Keeping them apart makes the invoice easy to approve and to compare month to month:
- The monthly plan — per user or per device, with the month it covers
- Hours outside the plan, with the date, ticket number or a short description
- After-hours or emergency rates, if they're different from your normal rate
- Hardware, with model and warranty
- Software licenses and subscriptions, with the count and billing period
- The reference to your service agreement, so the client can check what's included

| On-site setup – new workstation and printer (2 hrs) | 2 | $95.00 | $190.00 |

Per-user pricing and the monthly plan
Per-user or per-device pricing makes your invoice predictable: when the client adds a user, the plan line changes by one. Invoice the plan in advance at the start of each month, and bill extra hours in arrears on the next invoice. If you have several clients on the same plan, click New invoice after each one — your business details stay and the invoice number moves on.
Hardware and licenses
Bill hardware and resold software on separate lines from your labor. Many states charge sales tax on hardware and on some software, while labor may be taxed differently or not at all, depending on the state. If you set up sales tax on the invoice, check whether it should apply to every line. Keep the supplier invoices: they're your cost records and back up the warranty.
Tax notes for IT professionals
Tools, test equipment, software, certifications and training, and the cost of your phone and internet used for work are common business expenses. If you buy hardware to resell to clients, that's a cost of goods, not a deduction for equipment you use. Use the 1099 tax calculator to see how much of each payment to set aside.
Frequently asked questions
Should I charge a minimum for call-outs?
Many IT providers charge a minimum of one hour for on-site visits and emergency calls. Put it in your service agreement and show it on the invoice as "Minimum call-out – 1 hr".
How do I bill time in 15-minute blocks?
Enter the time as a decimal: 15 minutes = 0.25, 30 minutes = 0.5, 45 minutes = 0.75. The amount works itself out.
Can I make the same invoice every month?
Yes. Your last invoice stays in your browser. Click New invoice to keep your business details, then add this month's lines. Or download the Excel file and copy it each month.
Should I mark up hardware?
Many providers add a markup or a handling fee for sourcing and setting up hardware. Be open about it in your agreement.
